1. Information we collect
Information you provide to us
When you create an account, request a demo, contact support, or use the Services, you may provide us with information such as your name, business email address, phone number, agency name, billing information, and any content you submit through the platform.
Customer Data
As an insurance CRM, the Services are designed for you (the "Customer") to import, store, and process information about your own contacts, leads, and clients ("Customer Data"). Customer Data may include names, phone numbers, email addresses, mailing addresses, policy details, communication histories, and other information you choose to upload or capture. You are the controller of Customer Data; we are the processor acting on your instructions.
Information collected automatically
When you access the Services, we automatically collect technical information such as IP address, browser type, device identifiers, operating system, pages viewed, referring URLs, and timestamps. This information is collected through cookies, log files, and similar technologies.
Information from third parties
We may receive information about you from third-party services you connect to the platform, such as Google Workspace, Microsoft Outlook, Twilio, Stripe, or other integrations you authorize. We only receive information to the extent you authorize the integration.
2. How we use information
We use the information we collect to:
- Provide, operate, maintain, and improve the Services;
- Authenticate users and secure accounts;
- Process payments and manage subscriptions;
- Send transactional messages (account notifications, billing receipts, security alerts);
- Respond to support requests and customer inquiries;
- Send service updates and marketing communications (you may opt out at any time);
- Detect, prevent, and address fraud, abuse, and security incidents;
- Comply with legal obligations and enforce our Terms of Use;
- Develop new features and conduct internal analytics.
We do not sell Customer Data. We do not use Customer Data to train artificial-intelligence models for the benefit of any other customer or third party.
3. How we share information
We share information only as described below:
- With service providers who help us operate the Services (see Section 4);
- With your authorization, when you connect third-party integrations or direct us to share information;
- For legal reasons, when required to comply with applicable law, valid legal process, or to protect the rights, property, or safety of YourAgentHub, our customers, or others;
- In a business transfer, in connection with a merger, acquisition, financing, or sale of all or a portion of our business — subject to customary confidentiality protections.
4. Service providers and sub-processors
We rely on a small number of trusted infrastructure and service providers to deliver the Services. Current sub-processors include:
- GoHighLevel — platform infrastructure;
- Stripe — payment processing;
- Twilio — SMS and voice messaging;
- Google Workspace / Microsoft 365 — email integration (when authorized);
- Cloud hosting providers — application hosting and data storage.
Each sub-processor is bound by contractual obligations to use information only for the limited purposes for which it was provided. We will provide the current list of sub-processors on request to support@youragenthub.ai.
5. Data retention
We retain personal information for as long as your account is active, as needed to provide the Services, or as required to comply with our legal obligations. Customer Data is retained according to your instructions; you may export or delete Customer Data at any time from your dashboard. After account termination, we will delete or anonymize Customer Data within 90 days, except where retention is required by law.
6. Security
We implement administrative, technical, and physical safeguards designed to protect personal information, including:
- Encryption in transit (TLS 1.2 or higher) and at rest;
- Role-based access controls and least-privilege provisioning;
- Audit logging of administrative and data-access events;
- Optional two-factor authentication enforcement;
- Regular security reviews and vulnerability monitoring.
No method of transmission or storage is 100% secure. If we become aware of a security incident affecting your personal information, we will notify you in accordance with applicable law.
7. Your rights and choices
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you;
- Correct inaccurate or incomplete information;
- Request deletion of your personal information;
- Object to or restrict certain processing;
- Request a copy of your information in a portable format;
- Withdraw consent at any time (where processing is based on consent);
- Opt out of marketing communications at any time;
- Lodge a complaint with a supervisory authority.

If you are an end-user whose information is stored by an agency customer of YourAgentHub, please contact that agency directly to exercise your rights — the agency is the controller of your information.
8. Cookies and similar technologies
We use cookies and similar technologies to keep you signed in, remember your preferences, measure usage, and improve the Services. You can control cookies through your browser settings; however, disabling cookies may limit your ability to use parts of the Services.
9. Children's privacy
The Services are intended for business users and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.
10. International data transfers
YourAgentHub.ai operates primarily in the United States. If you access the Services from outside the United States, your information will be transferred to, stored, and processed in the United States or other countries where we or our service providers operate. We use appropriate safeguards for cross-border transfers as required by applicable law.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and update the "Last updated" date. For material changes, we will provide additional notice (such as an email or in-product notification). Your continued use of the Services after changes become effective constitutes acceptance of the updated Policy.
